Assist the public and perform a variety of assigned clerical duties in support of the Human Resources/Payroll Department.

Duties and Responsibilities include:

  • Greet the public, answer telephones, receive, and refer visitors, give general information concerning the department and take messages.
  • Assist full-time staff in various departmental duties and responsibilities, i.e., recruitment, employee record processing, inventory, ordering, filing, bulk mailings, scanning, etc.
  • Perform data entry.
  • Process applicant files for faculty and administrative/exempt positions, send out application packets, log materials and request, prepare files, record keeping, etc.
  • Prepare reports using Microsoft Word and Excel, and Outlook.  Operate office equipment (copier, computer, scanner, etc).
  • Sort, file and purge a variety of documents and materials according to departmental procedures.
  • Assist staff to prepare mailing and application packets; post information, process timekeeping, and verify payroll reports for accuracy.
  • Perform basic mathematical calculations.
  • May receive, sort and distribute mail.
  • May assist new work –study students in becoming familiar with office routines.
  • Prepare and maintain individual payroll files for all College employees.  Sort, file and purge payroll reports according to payroll related procedures.
  • Data entry of payroll data and filing of related payroll information.
  • Reconcile payroll reports with Health Care Authority and DRS reports to ensure employee payments are being reported correctly.
  • Process and distribute paychecks for each pay cycle.
  • Assist with archiving of records.
  • Perform related duties as assigned.

Minimum Qualifications:

  • Excellent verbal communication skills.
  • Prior office experience or enrollment in office occupations preferred.
  • Ability to lift up to 30 pounds.
